After you’ve uploaded all final reports and invoices for a portfolio RFP, the next step is to finalize the project. Finalizing tells the lender that all work is complete. This is done through the primary site within the Portfolio Project Dashboard. If edits are required after finalization, you can also unfinalize the project.
Step-by-Step: Finalize a Portfolio Project
Access the Portfolio Project Dashboard
From the All Projects tab:Find the portfolio assignment using search filters.
Click the down arrow next to View Details and select Go to Project Dashboard.
Locate the Primary Site
In the dashboard list, the primary site will be highlighted in orange. This is where the portfolio's finalization is controlled.
Click the Finalization Link
In the Report Status column for the primary site, click the blue WO (Work Order) text. This opens the Report Status modal.
Select Finalize
In the modal, click Finalize to confirm that all deliverables have been submitted.Click Close and Update Dashboard to complete the action.
The status will change from WO to FIN on the dashboard.
Report Status Codes
Status Code | Description | Used By |
---|---|---|
WO | Work Order | All vendors |
DE | Data Entry | Environmental vendors |
SR | Senior Review | Environmental vendors |
FIN | Finalized | Valuation vendors |
Step-by-Step: Unfinalize a Portfolio Project
On the Project Dashboard, find the row where Report Status is set to FIN (Finalized).
Click the blue FIN text to open the Report Status modal.
Select UNFINALIZE
In the modal window:Click UNFINALIZE to return the project to draft status.
Click Close and Update Dashboard to complete the change.
Note: After unfinalization, the portfolio project will no longer appear in the All Final Projects tab. It will return to All Projects until re-finalized.
Best Practices
Only finalize a portfolio after all required files (reports, support docs, invoice) are uploaded and delivered.
Unfinalize if you need to upload new documents, correct salient data, or respond to lender changes.
Each site must be finalized independently unless the lender has instructed otherwise.
Track the status of each site from the Portfolio Project Dashboard before finalizing the primary site.
